The AI receptionist can operate 24/7, with human support layered in where appropriate to provide empathy, judgment, and higher‑touch handling.

3.2 Inbound and Outbound Call Handling

Recepta.ai supports both inbound and outbound calling, including:
  • Responding to new inquiries and existing customer calls.
  • Placing outbound calls for appointment booking, confirmations, reminders, and follow‑ups.
  • Conducting structured outreach based on your lists and instructions.

You control who is called, when they are called, and what messaging is used, subject to applicable law and these Terms.

3.3 Chat, SMS, and Messaging Services

Recepta.ai provides chat, SMS, and related messaging services (the “Messaging Services”) that may include:
  • Website chat widgets or embedded chat experiences.
  • Two‑way SMS between your business and your contacts.
  • Messaging through connected channels or third‑party tools.
  • Automated and human‑assisted responses, conversation flows, and follow‑up sequences delivered via chat or SMS.
Messaging may be triggered by events such as new leads, missed calls, upcoming appointments, or customer lifecycle milestones, as configured in your account.

3.4 Analytics, Insights, and Data Logging

Recepta.ai captures and organizes information from calls and messages, and may generate:
  • Transcripts, summaries, tags, and structured data from interactions.
  • Dashboards showing call and message volumes, trends, and performance.
  • Analytics and insights that help you identify bottlenecks and improve operations.
Every inbound and outbound call, message, and configured action may be logged to support analytics, reporting, training, and quality control.

3.5 Integrations and Workflows

Recepta.ai connects with CRMs, calendars, messaging platforms, and industry‑specific systems to keep information synchronized and workflows automated. Depending on your setup, Recepta.ai may:
  • Book and modify appointments in your scheduling tools.
  • Create, update, or annotate records in your CRM or practice management systems.
  • Trigger follow‑up tasks, status changes, or notifications.
You are responsible for your relationships and agreements with any third‑party tools and for granting Recepta.ai appropriate access.

4. Accounts, Configuration, and Customer Responsibilities

To use most Services, you may need to create an account, provide requested information, and configure your call flows, messaging flows, and integrations. You agree to:
  • Provide accurate, current, and complete information and keep it updated.
  • Maintain the confidentiality of your login credentials and restrict access to authorized personnel only.
  • Notify Recepta.ai promptly of any unauthorized access or suspected security issue.
If you request that Recepta.ai access your systems or third‑party services:
  • You will provide unique credentials and limit permissions to what is necessary to perform agreed tasks.
  • You represent that you are authorized to grant such access and to direct actions in those systems.
  • If credentials or permissions do not allow Recepta.ai to perform requested tasks, Recepta.ai has no obligation to perform those tasks.
You are solely responsible for:
  • The content of scripts, prompts, messages, campaigns, and workflows you configure.
  • The accuracy and legality of contact lists and recipients you provide.
  • Compliance with laws and industry rules that apply to your business and geography.

5. Plans, Usage, Billing, and Taxes

5.1 Service Plans and Metrics

Recepta.ai offers subscription plans described on its pricing pages and in any specific quotes or order forms. Plans may include limits or allowances based on metrics such as:
  • Number of calls, minutes, or interactions handled (AI and/or human).
  • Number of messages or chat conversations.
  • Number of contacts or leads engaged.
  • Coverage hours, features, and support levels.
Your specific plan, including included usage, pricing, and term, is defined at sign‑up or in your written agreement.

5.2 Subscriptions and Renewal

Subscriptions generally renew automatically at the end of each billing cycle (for example, monthly or annually) unless canceled as described in these Terms. By subscribing, you authorize Recepta.ai and its payment processors to charge your payment method for:
  • Recurring subscription fees.
  • Usage beyond plan limits (overages).
  • Taxes and other applicable charges.
If you change your plan, the change may apply at the next billing cycle unless otherwise agreed, and prior usage remains subject to the previous plan.

5.3 Overage and Additional Fees

Overage may apply to calls, minutes, messages, chats, or contacts and may be billed at the end of the billing period, at plan change, or on termination.

5.4 Payment, Late Payment, and Suspension

You must maintain valid payment information and ensure payments are made when due. If a payment attempt fails, Recepta.ai may:
  • Request an alternative payment method.
  • Charge late fees or interest as permitted by law.
  • Suspend or limit Services until payment is received.
  • Terminate your account if payment remains overdue after a defined grace period.
You are responsible for reasonable collection costs and legal fees where allowed by law.

5.5 Taxes

Fees are exclusive of sales, use, value‑added, or similar taxes, except where Recepta.ai explicitly states otherwise. You are responsible for all such taxes related to your subscription and use of the Services, other than taxes based on Recepta.ai’s income.

6. Money‑Back Guarantee (Risk‑Free Period)

If Recepta.ai promotes a “30 days risk‑free” or similar guarantee for eligible plans, that guarantee applies as described on the site at the time you subscribe and as outlined in this section.

Unless otherwise specified:
  • The guarantee is available only to first‑time customers of eligible plans and only once per customer or business.
  • You must request the guarantee in writing using the contact information provided on the website within 30 days of your initial subscription payment.
  • The refund is limited to your first subscription payment for the eligible plan and does not include overages, add‑ons, or usage‑based fees.
  • Any discounts applied to your first payment are not refundable or convertible to cash.
Recepta.ai may modify or discontinue the guarantee for future new customers, but changes will not affect a guarantee already applicable to your current initial 30‑day period.

7. Acceptable Use and Legal Compliance

You must not:

Recepta.ai may provide tools to help manage preferences, but you remain ultimately responsible for legal compliance.

You control the content and frequency of your chat and SMS messages. You must ensure that:

  • Frequency aligns with applicable law and reasonable expectations.
  • Messages include any required disclosures or identification of sender.
You may not use Messaging Services to send spam, unlawful content, threats, or content that violates carrier rules.

8.3 Delivery and Limitations

Delivery of chat and SMS messages relies on networks, carriers, and third‑party platforms outside Recepta.ai’s control. Recepta.ai does not guarantee:
  • That any particular message will be delivered, read, or acted upon.
  • That delivery will be immediate or free from delays or filtering.
  • That recipients will respond or convert into leads, appointments, or sales.

9. Customer Data, Privacy, and Security

9.1 Customer Data

You retain ownership of Customer Data and are responsible for its accuracy and lawfulness.

Recepta.ai may process Customer Data to:

  • Monitor system performance, detect abuse, and protect security.

Subject to your compliance with these Terms and payment of applicable fees, Recepta.ai grants you a limited, non‑exclusive, non‑transferable, revocable license to access and use the Services solely for your internal business purposes during your subscription. You grant Recepta.ai a non‑exclusive, worldwide, royalty‑free license to use Customer Data as necessary to provide the Services and to create aggregated or de‑identified data described in Section 9. If you provide feedback or suggestions, Recepta.ai may use them without obligation to you.

11. Third‑Party Services

The Services may connect to or rely on third‑party services and integrations (such as CRMs, calendars, and messaging platforms). Those services are governed by their own terms and privacy policies.

Recepta.ai is not responsible for the content, performance, or security of third‑party services, and does not guarantee their availability or behavior. You are responsible for your use of third‑party services and for ensuring your configurations and integrations are permitted under your agreements with those providers.

12. Disclaimers

To the fullest extent permitted by law, the Services are provided “as is” and “as available.” Recepta.ai disclaims all warranties not expressly stated in these Terms, whether express, implied, or statutory, including implied warranties of merchantability, fitness for a particular purpose, and non‑infringement.

Without limiting the foregoing, Recepta.ai does not guarantee:
  • That the Services will be uninterrupted, error‑free, or completely secure.
  • That every call or message will be successful, delivered, or produce a desired outcome.
  • That analytics and insights will be entirely complete or free from inaccuracies.
Any performance figures or ROI references (such as “15× ROI” or improvements in lead capture) are illustrative; actual results vary by customer and use case.

13. Limitation of Liability

To the fullest extent permitted by law:
  • Recepta.ai will not be liable for indirect, incidental, consequential, special, punitive, or exemplary damages, including lost profits, lost revenue, business interruption, or loss of data, arising from or related to your use of the Services or these Terms, even if advised of the possibility of such damages.
  • Recepta.ai’s total aggregate liability for all claims arising out of or related to the Services or these Terms will not exceed the amounts you paid to Recepta.ai for the Services during the twelve (12) months preceding the event giving rise to the claim.
Nothing in these Terms is intended to exclude or limit liability where such exclusion or limitation is prohibited by law.

14. Indemnification

You agree to indemnify, defend, and hold harmless Recepta.ai and its affiliates, officers, directors, employees, and agents from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys’ fees) arising out of or related to:
  • Your use of the Services, including the content of calls, messages, and campaigns.
  • Your violation of these Terms or applicable law.

Recepta.ai may assume control of the defense of any matter subject to indemnification; if so, you will cooperate as reasonably requested.

15. Suspension, Termination, and Consequences

You may cancel your subscription by following the instructions in your account or by contacting Recepta.ai using contact information on the website. Unless otherwise stated, cancellation takes effect at the end of your current billing period, and fees already paid are non‑refundable except under any applicable money‑back guarantee.

Recepta.ai may suspend or terminate your access to all or part of the Services if:

Any disputes will be resolved in the courts or dispute resolution forum specified in the version of these Terms published on the Recepta.ai website at the time of the dispute, subject to any mandatory consumer protections.

17. Miscellaneous

Entire Agreement: These Terms, together with any order forms and referenced policies, constitute the entire agreement between you and Recepta.ai regarding the Services and supersede all prior or contemporaneous understandings relating to the same subject matter.

Assignment: You may not assign or transfer your rights or obligations under these Terms without Recepta.ai’s prior written consent. Recepta.ai may assign its rights and obligations in connection with a merger, acquisition, reorganization, sale of assets, or by operation of law.

Severability: If any provision is held invalid or unenforceable, the remaining provisions remain in full force and effect.

No Waiver: A failure to enforce any right or provision is not a waiver of that or any other right or provision.
